Mailing Service Details and Specifications

We appreciate this opportunity to work together on your mailing project. The information below goes over our mailing service policy and explains the various mail service types and specification.

1) Extra Mail Pieces that are shipped directly to your office

Often our clients request that we print extra mail pieces which will not be included in the mailing but will be sent back to them to have on hand. Please keep in mind that the mailing indicia needed to qualify for bull mail service is pre-printed on the mail pieces, so all extras you receive will display our Carle Place mailing indicia.

If you are planning to mail out the extra mail pieces individually, please make sure you affix sufficient postage over the printed indicia to ensure processing and delivery of each mail piece you send. Extra mail pieces pre-printed with our mailing indicia are only processed when sending mail in mass quantity and the entire job is  sorted to USPS specification. If you attempt to mail one of your extras without affixing stamps, the mail will be returned to you and will cause a delay to your intended recipient.

2) File Formats for Mailing Lists

We can work with mailing lists in either excel, .csv, or dbf format in order run your list through the USPS database to calculate an exact postage cost.

3) Pre-sorted First Class Mail

First class mail is guaranteed to be delivered by the USPS within 3 business days. Typically, the cost per piece is very close to the standard cost of a stamp however most clients decide to use first class service when the mailing needs to be delivered quickly. Using first class service also ensures that all mail pieces which cannot be delivered due to incorrect or changed address will be sent back to your office. Aside from the fast delivery time, this also gives you the ability to make adjustment to your mailing list based on the number of returns you receive.

4) Pre-Sorted Standard Mail

This class of mail is typically used for larger mailing jobs where cost is a concern and delivery time is less important. Pre-sorted standard mail is typically 30%-35% less expensive than sending mail first class, however, processing time is longer and delivery is not guaranteed by the USPS. Most mail sent using the pre-sorted standard indicia will take 7-10 days to be deliver., however we have seen mailings that have taken longer than 3 weeks to be delivered, depending on USPS workload and time of year.

Timely delivery is not guaranteed by the post office when using pre-sorted standard class mail, you will also not receive any mail pieces that are unable to be delivered to the intended recipient.

5) Payment for Processing:

After we have setup your order for mailing services, we will supply you with  total cost for postage based on your chosen class of mail and your supplied mailing list. All postage costs must be paid directly to the USPS so we are able to deliver you mailing without delay. Checks for postage payment should be may payable to the Carle Place Postmaster for the cost cost of postage as indicated on the USPS receipt we will supply you with.
